Common questions
Quick answers about what CareCade can do
What is CareCade and who is it for?
CareCade is software that helps home care agencies manage their clients, caregivers, and paperwork. It's built specifically for agencies in Washington State that serve people with developmental disabilities (DDCS/DDA services). Families and case managers also get free access to see what care is being delivered.
How do I prove my caregivers actually showed up?
When caregivers clock in on their phone, CareCade captures their GPS location and checks if they're at the client's home. This creates automatic, verifiable proof that holds up in audits — no more paper timesheets or guessing.
Is my client information safe and HIPAA compliant?
Yes. CareCade uses the same level of encryption banks use, controls who can see what information, logs all activity, and we'll sign a Business Associate Agreement (BAA) with your agency. We take HIPAA seriously because you have to.
Can caregivers use CareCade on their phones?
Yes, there's a free app for iPhone and Android. Caregivers can clock in and out, see their schedule, check off tasks, report incidents, and even work offline when there's no internet. They can log in with their fingerprint for convenience.
Can families see what care their loved one is getting?
Yes. Families get free access to a portal where they can see scheduled visits, completed appointments, goal progress, and who's on the care team. They also get notified when a caregiver is on their way.
What about case managers?
Case managers get free access to see all their assigned clients across different agencies — no more calling 15 agencies to verify one week of services. They can view appointments, service hours, and any escalated incidents.
Does CareCade work with DSHS and Washington State reporting?
Yes. CareCade generates Washington State DSHS-compliant reports and offers direct ProviderOne EVV integration. Export EVV data directly to ProviderOne for seamless billing, plus DAT files for Medicaid billing. We built it specifically for Washington DDCS agencies.
Can I manage NEMT transportation for PASRR clients?
Yes. CareCade has Washington State NEMT brokers built in — Hopelink, NWRC, Access, and DART. Assign clients to their broker, create transportation requests with PASRR Specialized Add-on Services, generate PDF forms to fax for approval, and schedule recurring rides. Caregivers see NEMT trips in their app so they know when clients have transportation that day.
Can I coordinate schedules with facilities like group homes?
Yes. Assign clients to facilities (nursing homes, group homes, day programs), then export weekly schedules to Excel for facility staff. Client names are privacy-formatted (first name + last initial) for HIPAA compliance. You can also export transportation schedules per facility.
Can CareCade help me hire and onboard new caregivers?
Yes. Post jobs on your branded careers page, track applicants through a hiring pipeline, schedule interviews, and send digital offer letters. When candidates accept, they complete onboarding online — W-4, I-9, and HIPAA forms signed via DocuSign. When all paperwork is done, CareCade automatically creates their employee record.
What is the AI chatbot for family inquiries?
CareCade includes an AI-powered chatbot that talks to families on your website 24/7. It collects their contact info, learns about the client they need care for, and gathers details like waiver status and schedule preferences. When the conversation is complete, a lead appears in your inbox ready for follow-up.
How much does it cost?
Agencies pay $200/month for up to 50 clients, or $350/month for unlimited clients. There's a 14-day free trial. Families and case managers always get free access — we think transparency shouldn't cost extra.
Can I manage multiple offices or regions?
Yes. CareCade supports multiple workspaces — one for each office or region. Each workspace has its own clients, schedules, and payroll, but employees can be shared across offices. When staff update their certification or pass a background check, it syncs to all workspaces automatically. One login, switch offices with a click.
What is face verification and do I need it?
Face verification is a premium add-on that uses your caregiver's phone camera to verify their identity when clocking in. It prevents buddy punching (having someone else clock in for you) and provides an extra layer of EVV compliance. It starts at $29/month for up to 25 staff. Most agencies don't need it — GPS location verification is already included for free — but it's there if you want maximum verification.
