Types of Preferences

Visibility Settings

Control what information staff sees:

  1. Go to Clients → Select client
  2. Click Preferences tab
  3. Under Visibility:

Show phone to staffStaff sees client phone number
Show address detailsFull address visible (vs city only)
Show medical infoDiagnoses, medications visible
Show emergency contactsStaff can view emergency numbers

Contact Preferences

Document how the client/family prefers to be contacted:

Preferred Contact Method

  • Phone call
  • Text message
  • Email
  • Portal message

Best Times to Contact

Set windows when it's OK to call:

  • Morning (8am–12pm)
  • Afternoon (12pm–5pm)
  • Evening (5pm–8pm)

Do Not Contact

Note any restrictions:

  • "Don't call during work hours"
  • "Text only, no calls"
  • "Contact guardian, not client"

Caregiver Preferences

Preferred Caregivers

Mark caregivers the client especially likes:

  1. Go to PreferencesCaregiver Preferences
  2. Click + Add Preferred
  3. Select caregiver
  4. Add optional notes

Preferred caregivers appear first in scheduling suggestions.

Restricted Caregivers

Mark caregivers who should NOT be assigned:

  1. Click + Add Restriction
  2. Select caregiver
  3. Add reason (required for documentation)

Restricted caregivers cannot be assigned to this client.

Note: Restrictions are private — only visible to admins.

Gender Preference

If client prefers caregiver of specific gender:

  • Select: Male, Female, or No Preference
  • Scheduling will prioritize matching gender

Schedule Preferences

Preferred Days

Check days the client prefers appointments:

  • Monday
  • Tuesday
  • Wednesday
  • Thursday
  • Friday
  • Saturday
  • Sunday

Preferred Times

Set preferred appointment windows:

  • Early morning (6am–9am)
  • Morning (9am–12pm)
  • Afternoon (12pm–3pm)
  • Late afternoon (3pm–6pm)
  • Evening (6pm–9pm)

Schedule Notes

Free-text field for specific instructions:

  • "No appointments before 10am — client sleeps late"
  • "Thursdays at day program, only available after 3pm"
  • "Prefers same time each week for routine"

Language & Communication

Primary Language

Select client's primary language:

  • English
  • Spanish
  • Vietnamese
  • Chinese
  • Korean
  • Russian
  • Other (specify)

Communication Needs

Note any special considerations:

  • Hearing impairment
  • Visual impairment
  • Uses AAC device
  • Needs interpreter
  • Simple language preferred
