Copying Weekly Schedules

Duplicate schedules to save time.
When to Use Copy
- Schedules repeat week to week
- Same staff/client pairings continue
- Minor adjustments needed, not rebuild
How It Works
Copy Week takes all appointments from one week and creates drafts for another week.
Source Week (Mar 3-9) → Target Week (Mar 10-16)
All appointments duplicated as drafts
Adjust as needed, then publish
Copying a Week
Step 1: Go to Schedule
- Navigate to Schedule
- Select Week View
Step 2: Choose Source Week
- Navigate to the week you want to copy
- Click Copy Week button
Step 3: Select Target Week
- Choose destination week
- Options:
- Next week (default)
- Specific week
Step 4: Review Options

|---|---|
| Include cancelled | Copy cancelled appointments too |
| Copy as drafts | Create as drafts (recommended) |
| Skip conflicts | Don't copy if conflicts exist |
Step 5: Copy
- Click Copy Schedule
- System creates appointments
- All new appointments are drafts

After Copying
Review and adjust the draft appointments:
Common Adjustments
- Remove holidays — Delete appointments on holidays
- Cover absences — Reassign if staff is off
- Add new clients — Schedule additional appointments
- Adjust times — Fine-tune start/end times
Publish
When ready:
- Review all drafts
- Click Publish All
Copying Multiple Weeks
Plan ahead for a month:
- Copy Week 1 → Week 2
- Copy Week 2 → Week 3 (or Week 1 → Week 3)
- Copy Week 3 → Week 4
- Adjust each week as needed
Handling Conflicts
If a copy would create conflicts:
Pre-Copy Warning
System shows:
- Staff already scheduled
- Client already booked
- Outside working hours
Options
| Choice | Result |

| Skip conflict | Don't copy that appointment |
| Copy anyway | Create with warning flag |
| Cancel | Don't copy anything |
Copying from Templates
For consistent weekly schedules:
Create Template Week
- Build a "perfect" week
- Save all appointments
- Note the week (e.g., "Mar 3-9 Template")
Use Template
- Navigate to template week
- Copy to target week
- Adjust as needed
Tips
- Copy early in week — More time to adjust
- Always use drafts — Review before publishing
- Check holidays — Remove those days
- Verify unit availability — May change week to week
Troubleshooting
Not all appointments copied
Check:
- Source appointments are in selected week
- No filters hiding appointments
- User has permission to copy
"Conflict detected"
- Review the conflict
- Decide to skip or override
- Manually resolve after copying
Staff can see drafts
- Verify appointments created as drafts
- Check "Save as draft" was selected
- Unpublish if accidentally published
