Emailing Reports to Case Managers

Send signed reports with delivery tracking.
Before Sending
Report must be:
- ✓ Approved
- ✓ Signed by provider
- ✓ PDF generated
- ✓ Case manager assigned to client
Sending a Report
Step 1: Open Report
- Go to Reports → DSHS Reports
- Filter: Signed or Ready to Send
- Click on report
Step 2: Prepare Email
- Click Send to Case Manager
- Review:
- Recipient email (from client's case manager)
- Subject line (auto-generated)
- Message body (customizable)
Step 3: Customize Message
Edit the email body:
- Default greeting included
- Add personal message
- Use placeholders:
{{clientName}}— Client name{{reportType}}— Report type{{periodRange}}— Date range{{caseManagerName}}— CM name
Step 4: Send
- Click Send Email
- Report PDF attached automatically
- Confirmation shown

Customizing Templates
- Go to Settings → Email Templates
- Find DSHS Report Email
- Edit template
- Save
Branded Emails
If custom email domain configured:
- Emails come from your domain
- Your logo in signature
- Professional appearance
Without custom domain:
- Sent from CareCade
- Still includes your branding in content
Tracking Delivery
View Status
- Open sent report
- See Email Status:
- Sent
- Delivered
- Opened (if supported)
- Failed
Delivery History
- Go to report → History
- See all send attempts
- Includes timestamps
Resending Reports
If delivery failed or resend needed:
- Open report
- Click Resend
- Optionally edit message
- Send again
Bulk Sending
Send multiple reports at once:
- Select multiple signed reports
- Click Send All to Case Managers
- Each goes to respective CM
- Uses default template
Delivery Issues
Email Bounced
- Verify case manager email is correct
- Update in client profile
- Resend
Spam Filtering
Suggest case managers:
- Add your email to contacts
- Check spam folder
- Whitelist your domain
Tracking Log
View all sent reports:
- Go to Reports → Sent Reports
- See:
- Report name
- Recipient
- Date sent
- Status
Tips
- Verify email first — Check CM email is current
- Personalize messages — Build relationships
- Track delivery — Follow up if not opened
- Use templates — Consistent professional communication
