The marketing module helps you:

Accessing Marketing

Navigate to Marketing from the main navigation. You'll see:

  • Campaign dashboard
  • Recent leads
  • Referral source overview
  • Upcoming outreach activities

Lead Management

Understanding Leads

A lead is a potential client who has expressed interest but isn't yet enrolled. Leads can come from:

  • Website inquiries
  • Phone calls
  • Referrals from case managers
  • Facility recommendations
  • Community events
  • Online advertising

Creating a Lead

  1. Click + New Lead
  2. Enter contact information:
    • Name
    • Phone number
    • Email (optional)
    • Preferred contact method
  3. Add lead details:
    • Service interest
    • Location/area
    • Referral source
    • Notes from initial contact
  4. Click Save

Lead Statuses

  • New - Just received, needs follow-up
  • Contacted - Initial outreach made
  • Qualified - Meets service criteria
  • Nurturing - Not ready yet, stay in touch
  • Converted - Became a client
  • Lost - Did not convert

Working Leads

Click on a lead to:

  • View all contact information
  • Add notes from conversations
  • Log activities (calls, emails, visits)
  • Schedule follow-up tasks
  • Move to the next status

Setting Up Referral Sources

  1. Go to Marketing → Referral Sources
  2. Click + Add Source
  3. Enter source details:
    • Name - Source identifier
    • Type - Category (Hospital, Case Manager, Online, etc.)
    • Contact - Primary contact person
    • Notes - Relationship details
  4. Save

Default Source Types

CareCade includes common source types:

  • Case Manager Referral
  • Hospital/Facility Discharge
  • Family/Friend Recommendation
  • Online Search (Google, Bing)
  • Social Media
  • Community Event
  • Direct Website Visit
  • Other

Linking Sources to Clients

When adding a client:

  1. Select the Referral Source field
  2. Choose the appropriate source
  3. Add any source-specific notes

This data flows into your marketing reports.

Campaign Management

What Is a Campaign?

A campaign is a coordinated marketing effort with:

  • Defined goals
  • Target audience
  • Timeline
  • Budget
  • Trackable results

Creating a Campaign

  1. Go to Marketing → Campaigns
  2. Click + New Campaign
  3. Set up the campaign:
    • Name - Campaign identifier
    • Type - Email, Event, Advertising, Outreach
    • Goal - What you want to achieve
    • Start Date - When it begins
    • End Date - When it ends
    • Budget - Allocated spend (optional)
  4. Add campaign details and materials
  5. Save

Event Campaigns

  • Health fairs
  • Community presentations

Tracking Campaign Results

For each campaign, track:

  • Leads Generated - New inquiries attributed to this campaign
  • Conversions - Leads who became clients
  • Cost - Actual spend
  • ROI - Revenue from converted clients vs. cost

Scheduling Activities

Plan marketing activities:

  1. Go to Marketing → Activities
  2. Click + New Activity
  3. Enter details:
    • Activity type
    • Date and time
    • Location
    • Team member(s) assigned
    • Notes/talking points
  4. Link to a campaign (optional)
  5. Save

View all scheduled activities on the calendar:

  • Filter by team member
  • Filter by activity type

Partnerships

Managing Partner Relationships

Track organizations you work with:

  1. Go to Marketing → Partners
  2. Click + Add Partner
  3. Enter partner information:
    • Organization name
    • Type (Facility, Hospital, Agency, etc.)
    • Primary contact
    • Contact information
    • Relationship notes
  4. Save

Partner History

For each partner, view:

  • All activities and touchpoints
  • Leads/referrals received
  • Clients from this partner
  • Notes and communications

Available Reports

Navigate to Marketing → Reports:

Lead Reports

  • Lead Pipeline - Leads by status
  • Lead Source Analysis - Where leads come from
  • Conversion Rate - Leads to clients ratio
  • Time to Convert - Average days to conversion

Campaign Reports

  • Campaign Performance - Results by campaign
  • Campaign ROI - Cost vs. revenue generated
  • Campaign Comparison - Side-by-side analysis

Referral Reports

  • Top Referral Sources - Highest volume sources
  • Source Conversion Rates - Which sources convert best
  • Source Trends - Changes over time

Activity Reports

  • Activity Summary - Activities by type
  • Team Activity - Activities by team member
  • Activity Effectiveness - Activities that led to conversions

Exporting Reports

All reports can be exported as:

  • PDF for presentations
  • CSV for analysis
  • Excel for further processing

Dashboard Widgets

Add marketing widgets to your main dashboard:

  • Lead Funnel - Visual pipeline
  • Monthly Leads - Trend chart
  • Top Referrers - Quick reference
  • Upcoming Activities - What's scheduled

Go to Dashboard → Customize to add widgets.
