What Is NEMT?

Non-Emergency Medical Transportation (NEMT) for clients needing rides to:

  • Day programs
  • Medical appointments
  • Community activities
  • Other authorized destinations

Enabling Transportation

  1. Go to SettingsFeatures
  2. Enable Transportation
  3. Transportation options appear on clients

Client Setup

Assign NEMT Broker

  1. Go to client profile → Transportation
  2. Enable NEMT Eligible
  3. Select Broker:
    • Hopelink
    • NWRC
    • Access
    • DART

Mobility Information

Creating NEMT Request

Step 1: Start Request

  1. Go to client → Transportation tab
  2. Click + New NEMT Request

Step 2: Service Details

FieldDescription
Service TypeCommunity Access, Habilitative, etc.
DestinationWhere they're going
PurposeWhy they need transport

Step 3: Schedule

FieldDescription
Schedule TypeOne-time or Recurring
DaysWhich days (M, T, W, etc.)
Pickup TimeWhen to be picked up
Return TimeWhen to return

Step 4: Case Manager

FieldDescription
Assessor NameCase manager name
Assessor PhoneCase manager phone

Step 5: Submit

Click Create Request → PDF generated


NEMT Request PDF

System generates formal request:

  • Client information
  • Service details
  • Schedule
  • Mobility needs
  • Case manager contact

Sending to Broker

  1. Download PDF
  2. Fax or email to broker
  3. Broker contacts case manager for approval

Trip Occurrences

Each scheduled trip creates an occurrence:

Viewing Trips

  1. Go to NEMT request
  2. See Trip Occurrences
  3. Each date listed with status

Trip Status

StatusMeaning
PendingAwaiting confirmation
ConfirmedBroker confirmed
CompletedTrip happened
CancelledWon't happen
No ShowClient wasn't there

Updating Trips

  1. Click trip occurrence
  2. Update:
    • Transportation company
    • Actual pickup time
    • Status
  3. Save

Linking to Appointments

Trips auto-link to matching appointments:

  • Same client
  • Same date/time
  • Staff sees transportation in app

Staff view shows:

  • "Transportation scheduled"
  • Pickup time
  • Transportation company

Cancelling NEMT

Cancel Single Trip

  1. Open trip occurrence
  2. Click Cancel
  3. Select reason
  4. Confirm

Cancel Recurring Request

  1. Open NEMT request
  2. Click Cancel Request
  3. All future trips cancelled
  4. Past trips preserved

Reports

Transportation Schedule Export

  1. Go to ReportsTransportation
  2. Select facility or all
  3. Select week
  4. Export Excel with:
    • Pickup times
    • Client names
    • Transport company
    • Destinations

Tips

  • Fill out completely — Brokers need all details
  • Update trips promptly — Track what happened
  • Link to appointments — Staff stays informed
  • Export weekly — Share with facilities
