Overview
The recruitment module helps you:
- Create and publish job postings
- Track applicants through your hiring pipeline
- Manage interviews and assessments
- Collect required documents
- Onboard approved candidates directly into your team
Accessing Recruitment
Navigate to Recruitment from the main navigation. You'll see:
- Active job postings
- Recent applicants requiring review
- Hiring pipeline overview
- Upcoming interviews
Creating Job Postings
Basic Information
- Click + New Job Posting
- Enter the job details:
- Title - Position name (e.g., "Community Support Worker")
- Type - Full-time, Part-time, PRN, Contract
- Location - Service area or "Remote"
- Pay Range - Hourly or salary range
- Description - Full job description with responsibilities
Requirements Section
Specify what applicants need:

Required Qualifications
- Education level
- Certifications (CNA, HCA, NAC, etc.)
- Years of experience
- Valid driver's license
- Reliable transportation

- Additional certifications
- Language skills
- Specialized training
Application Questions
Add screening questions:
- Scroll to Application Questions
- Click Add Question
- Choose question type:
- Yes/No
- Multiple Choice
- Short Answer
- Long Answer
- Mark as required or optional
- Add as many questions as needed
Publishing
- Save as Draft - Keep working on it
- Internal Only - Visible to current staff only
- Public - Appears on your careers page
- Job Boards - Post to external job boards (if configured)
Managing Applications
Applicant List
The applicant list shows:
- Applicant name and contact info
- Application date
- Current status
- Screening question answers
- Quick action buttons
Application Statuses
- New - Just submitted, needs review
- Screening - Being reviewed
- Phone Screen - Phone interview scheduled/completed
- Interview - In-person interview scheduled
- Assessment - Skills assessment in progress
- Background Check - Running background verification
- Offer Extended - Job offer sent
- Hired - Accepted and onboarding
- Declined - Not moving forward
- Withdrawn - Applicant withdrew
Reviewing an Application
- Click on an applicant's name
- Review their submitted information:
- Contact details
- Work history
- Education
- Certifications
- Question responses
- Uploaded resume
- Add internal notes
- Move to the next stage or decline
Interview Management
Scheduling Interviews
- Open the applicant's profile
- Click Schedule Interview
- Select interview type:
- Phone Screen
- Video Interview
- In-Person Interview
- Panel Interview
- Choose date and time
- Add interviewers
- Send invitation
The applicant receives an email with interview details.
Interview Feedback
After an interview:
- Open the applicant's profile
- Go to the Interviews tab
- Click Add Feedback
- Rate the candidate on key criteria
- Add detailed notes
- Recommend: Advance, Hold, or Decline
- Submit
All interviewers can add their feedback for collaborative decision-making.
Document Collection
Required Documents
Configure which documents you need:
- Go to Recruitment → Settings → Required Documents
- Enable/disable document types:
- Resume
- Cover Letter
- Driver's License
- Social Security Card
- Professional Certifications
- Background Check Authorization
- TB Test Results
- I-9 Documentation
Requesting Documents
- Open the applicant's profile
- Go to the Documents tab
- Click Request Documents
- Select which documents to request
- Set a deadline
- Send request
The applicant receives an email with a secure upload link.
Reviewing Documents
When documents are uploaded:
- You receive a notification
- Go to the applicant's Documents tab
- Click on each document to view
- Click Approve or Request Revision
Background Checks
Initiating a Background Check
- Open the applicant's profile
- Go to the Background Check tab
- Click Start Background Check
- Select the check level:
- Basic Criminal
- Enhanced Criminal
- Comprehensive (Criminal + Employment + Education)
- Send for applicant consent
Reviewing Results
When results arrive:
- Review the summary
- Check for any flagged items
- Make a determination:
- Clear - No issues found
- Review Required - Discuss with applicant
- Does Not Meet Standards - Cannot hire
Making an Offer
Creating the Offer
- Click Extend Offer
- Enter offer details:
- Position and title
- Start date
- Pay rate/salary
- Employment type
- Benefits (if applicable)
- Add any conditions (pending background check, etc.)
- Send offer letter
Offer Response
Track offer status:
- Sent - Awaiting response
- Viewed - Applicant opened the offer
- Accepted - They accepted
- Declined - They declined
- Negotiating - Discussion in progress
Onboarding
Converting to Team Member
When an applicant accepts:
- Click Start Onboarding
- Confirm their information:
- Personal details
- Contact information
- Emergency contacts
- Pay rate
- Start date
- Click Create Team Member
Their account is created and they can begin onboarding tasks.
Onboarding Checklist
New hires see a checklist including:
- Complete profile
- Upload remaining documents
- Watch training videos
- Complete required certifications
- Review policies
- Acknowledge handbook
Track their progress from the Onboarding tab.
Reports
Generate recruitment reports:
- Pipeline Report - Applicants by stage
- Source Analysis - Where applicants come from
- Time to Hire - Average days in each stage
- Offer Acceptance Rate - Offers made vs. accepted
- Hiring by Period - Hires over time
Best Practices
Efficient Screening
- Use screening questions to filter early
- Set up auto-decline for disqualifying answers
- Review new applications within 48 hours
- Communicate timeline to applicants
Structured Interviews
- Use consistent questions for all candidates
- Have multiple interviewers when possible
- Document feedback immediately after interviews
- Score candidates objectively
Compliance
