Time-Off Types
| Type | Description | Advance Notice |

Viewing Requests
Dashboard Widget
Dashboard shows:
- Pending time-off count
- Click to view all
Request List
- Go to Team → Time Off
- View all requests
- Filter by status, type, date
Request Information
Each request shows:

| Type | Vacation, Sick, etc. |
| Date(s) | When they need off |
| Reason | Optional explanation |
| Submitted | When they asked |
| Appointments | Scheduled appointments affected |
Processing Requests
Step 1: Review Details
- Click on request
- See all information
- Check affected appointments
Step 2: Check Coverage
System shows:
- Number of appointments affected
- Other staff available
- Open shifts created
Step 3: Decide
| Action | When |

| Approve | Time off granted |
| Deny | Cannot accommodate |
| Request More Info | Need clarification |
Step 4: Handle Appointments
If approved:
- System shows affected appointments
- Choose for each:
- Reassign to specific staff
- Mark as unassigned
- Cancel appointment
- Confirm changes
Approving Time Off
Simple Approval
When no appointment conflicts:
- Review request
- Click Approve
- Staff notified
With Appointments
When appointments exist:
- Click Approve
- System shows conflicts
- For each appointment:
- Select replacement staff, OR
- Mark unassigned, OR
- Cancel
- Confirm
Denying Time Off
When to Deny
- Insufficient notice
- Coverage unavailable
- Blackout period (high demand)
- Policy violation
How to Deny
- Click Deny
- Add reason (required)
- Staff receives notification
Sick Time
Same-Day Requests
Sick requests often come day-of:
- Review immediately
- Focus on finding coverage
- Approve after handling appointments
Multiple Days
If illness extends:
- Staff updates request
- Handle additional days
- Track total sick time used
Calendar View
See time off on schedule:
- Go to Schedule
- Time off appears as:
- Grayed out for that staff
- "PTO" or "Vacation" label
- Helps when scheduling
Tracking Balances
If you track PTO/vacation balances:
View Balance
- Go to team member profile
- Click Time Off tab
- See:
- Available days
- Used days
- Pending requests
Update Balance
- Click Adjust Balance
- Add or subtract days
- Note reason
- Save
Policies
Setting Time-Off Policies
- Go to Settings → Team & Compliance
- Configure:
- Minimum notice days
- Blackout dates
- Maximum consecutive days
- Approval requirements
Blackout Periods
Block time-off during busy times:
- Add blackout dates
- System warns when requested
- Requires admin override
Reports
Time-Off Report
- Go to Reports → Time Off
- See:
- Requests by type
- Days used per employee
- Approval/denial rates
- Export for records
Tips
- Process quickly — Staff needs to know
- Plan coverage — Before approving
- Track patterns — Frequent sick days
- Be consistent — Same rules for everyone
