Viewing Requests

Dashboard Widget

Dashboard shows:

  • Pending time-off count
  • Click to view all

Request List

  1. Go to TeamTime Off
  2. View all requests
  3. Filter by status, type, date

Request Information

Each request shows:

FieldDescription
EmployeeWho requested
TypeVacation, Sick, etc.
Date(s)When they need off

AppointmentsScheduled appointments affected

Processing Requests

Step 1: Review Details

  1. Click on request
  2. See all information
  3. Check affected appointments

Step 2: Check Coverage

System shows:

  • Number of appointments affected
  • Other staff available
  • Open shifts created

Step 3: Decide

ActionWhen

DenyCannot accommodate
Request More InfoNeed clarification

Step 4: Handle Appointments

If approved:

  1. System shows affected appointments
  2. Choose for each:
    • Reassign to specific staff
    • Mark as unassigned
    • Cancel appointment
  3. Confirm changes

Approving Time Off

Simple Approval

When no appointment conflicts:

  1. Review request
  2. Click Approve
  3. Staff notified

With Appointments

When appointments exist:

  1. Click Approve
  2. System shows conflicts
  3. For each appointment:
    • Select replacement staff, OR
    • Mark unassigned, OR
    • Cancel
  4. Confirm

Denying Time Off

When to Deny

  • Insufficient notice
  • Coverage unavailable
  • Blackout period (high demand)
  • Policy violation

How to Deny

  1. Click Deny
  2. Add reason (required)
  3. Staff receives notification

Sick Time

Same-Day Requests

Sick requests often come day-of:

  1. Review immediately
  2. Focus on finding coverage
  3. Approve after handling appointments

Multiple Days

If illness extends:

  1. Staff updates request
  2. Handle additional days
  3. Track total sick time used

Calendar View

See time off on schedule:

  1. Go to Schedule
  2. Time off appears as:
    • Grayed out for that staff
    • "PTO" or "Vacation" label
  3. Helps when scheduling

Tracking Balances

If you track PTO/vacation balances:

View Balance

  1. Go to team member profile
  2. Click Time Off tab
  3. See:
    • Available days
    • Used days
    • Pending requests

Update Balance

  1. Click Adjust Balance
  2. Add or subtract days
  3. Note reason
  4. Save

Policies

Setting Time-Off Policies

  1. Go to SettingsTeam & Compliance
  2. Configure:
    • Minimum notice days
    • Blackout dates
    • Maximum consecutive days
    • Approval requirements

Blackout Periods

Block time-off during busy times:

  1. Add blackout dates
  2. System warns when requested
  3. Requires admin override

Reports

Time-Off Report

  1. Go to ReportsTime Off
  2. See:
    • Requests by type
    • Days used per employee
    • Approval/denial rates
  3. Export for records

Tips

  • Process quickly — Staff needs to know
  • Plan coverage — Before approving
  • Track patterns — Frequent sick days
  • Be consistent — Same rules for everyone
