Viewing Client Schedules

Access your clients' service schedules to see upcoming appointments, completed visits, and service history.


Accessing Schedules

From Your Dashboard

  1. Log in to the portal
  2. Click on a client's name
  3. Select Schedule tab

Calendar View

See appointments displayed on a calendar:

  • Color-coded by status
  • Click any appointment for details
  • Navigate by week or month

Understanding the Schedule

Appointment Information

Each appointment shows:

  • Date and time
  • Service type
  • Duration
  • Status (Scheduled, Completed, Cancelled)
  • Staff assigned (if visible)

Status Colors

ColorStatus
BlueScheduled (upcoming)
GreenCompleted
GrayCancelled
YellowIn progress

Schedule Views

Week View

  • See one week at a time
  • All appointments for the week
  • Navigate between weeks

Month View

  • Monthly overview
  • Good for seeing patterns
  • Click days for details

List View

  • All appointments in a list
  • Sorted by date
  • Easy to scan

Filtering Schedules

By Date Range

  1. Select start date
  2. Select end date
  3. View filtered results

By Service Type

Filter to see only certain services:

  • Personal care
  • Community support
  • Transportation
  • Other service types

By Status

View appointments by status:

  • All appointments
  • Completed only
  • Upcoming only
  • Cancelled

Viewing Appointment Details

Click for More Information

Click any appointment to see:

  • Full service details
  • Staff assigned
  • Location
  • Service notes (if authorized)
  • Duration and timing

Service Notes Access

For completed appointments:

  • Notes may be visible
  • Depends on provider settings
  • Click "View Notes" if available

Schedule Summary

Hours Summary

View totals for the period:

  • Total scheduled hours
  • Hours completed
  • Hours remaining
  • Utilization rate

Service Breakdown

See services by type:

  • Hours per service type
  • Frequency of services
  • Pattern analysis

Exporting Schedule Data

Download Options

Export schedules as:

  • PDF report
  • Calendar file
  • Print-friendly view

How to Export

  1. Select date range
  2. Click Export or Download
  3. Choose format
  4. Save or print

Schedule Changes

Notifications

You may receive notifications when:

  • Appointments are scheduled
  • Appointments are changed
  • Appointments are cancelled

Configure notifications in Settings.

Viewing History

See past schedule changes:

  • When appointments were modified
  • Original vs. new times
  • Reasons if provided

Common Questions

Why Can't I See Staff Names?

Staff visibility depends on provider settings. Contact the provider if you need this information.

Why Are Some Appointments Missing?

Only appointments within your authorized date range appear. Very old appointments may not be visible.

Can I Request Schedule Changes?

Contact the provider directly to request schedule changes. This portal is view-only.
