CareCade helps DDA and HCBS providers manage scheduling, EVV, and billing in one platform.

CareCade helps Washington home care agencies manage clients, verify visits, and give families transparency into care. Here's how to get started.

You have two options:

  1. Claim your profile — If your agency is already in our directory
  2. Register new — If your agency isn't listed yet

Why Transparency Matters

CareCade is built on a simple belief: families and case managers deserve to see that care is happening.

When you use CareCade, you're not just managing your agency—you're giving families peace of mind and case managers the oversight they need. By adding correct email addresses for families and case managers, you enable them to:

  • Families: See visits, caregivers, and progress in real-time
  • Case managers: Monitor their clients across your agency without phone calls

This transparency builds trust, differentiates your agency, and improves care outcomes.


Option 1: Claim Your Existing Profile

Most Washington DDA providers are already listed in our directory (data comes from DSHS). You just need to claim yours.

How to Claim

  1. Search the directory — Go to carecade.org/providers and find your agency
  2. Click "Claim This Profile" — On your agency's page
  3. Verify your identity — We'll confirm you're authorized to manage this listing
  4. Complete setup — Once approved, finish your workspace configuration

Option 2: Register a New Agency

If your agency isn't in the directory yet, you can register directly.

How to Register

  1. Start registration — Go to carecade.org/register
  2. Enter your info — Company name, your name, email
  3. Verify your email — We'll send a 6-digit code
  4. Choose your workspace URL — yourcompany.carecade.org
  5. Start your trial — 14 days free, full access

What Happens After Setup

1. Add Your Team

Invite your caregivers and staff. They'll download the CareCade app and can start clocking visits.

2. Add Your Clients

Import or manually add clients. Set up their schedules, care plans, and authorized services.

3. Enable Family Transparency

Add family email addresses to each client's profile. This is critical for care transparency.

  • Families automatically get access to the family portal using that email
  • They can see visits, caregivers, and session notes
  • Double-check email spelling—typos prevent access

4. Enable Case Manager Oversight

Add case manager email addresses and link them to their assigned clients. This gives case managers instant visibility.

  • Case managers automatically get dashboard access using that email
  • They can monitor visits across all clients you've linked to them

5. Start Scheduling

Create appointments and assign caregivers. GPS verification happens automatically.

After the trial:

Common Questions

Is my data secure?

Yes. CareCade is HIPAA-compliant with encrypted connections, audit trails, and role-based access controls.

Can I import existing client data?

Yes. We can help you import from spreadsheets or other systems during onboarding.

Do caregivers need smartphones?

Yes, for GPS-verified clock-in/out. The app works on any modern iPhone or Android.

What if I need help setting up?

Can I cancel anytime?

Yes. No long-term contracts. Cancel before your trial ends and you won't be charged.
