Messaging Your Provider

Accessing Messages

From the Portal

  1. Log in to your account
  2. Click Messages in the menu
  3. View your conversations

Message Notifications

You may receive:

  • Email alerts for new messages
  • Portal notifications
  • Badge showing unread count

Sending a Message

How to Send

  1. Go to Messages
  2. Click New Message or Compose
  3. Write your message
  4. Click Send

What to Include

In your message:

  • State your question or concern clearly
  • Include relevant details
  • Mention dates or appointments if applicable

What to Message About

Good for Messages

  • Non-urgent questions
  • Scheduling inquiries
  • Feedback or compliments
  • General communication
  • Follow-up on conversations

Not for Messages

Don't use messages for:

  • Emergencies - Call 911
  • Urgent matters - Call the office
  • Same-day needs - Call directly

Receiving Messages

New Message Alerts

When you get a message:

  • Email notification (if enabled)
  • Badge on Messages icon
  • Alert in notification area

Reading Messages

  1. Click the notification or go to Messages
  2. Click the message to open
  3. Read the content
  4. Respond if needed

Response Times

What to Expect

  • Most messages answered within 1-2 business days
  • Non-urgent matters may take longer
  • Urgent issues - call instead

If You Don't Hear Back

If no response after 2-3 days:

  • Check your sent messages
  • Send a follow-up
  • Call the office

Message Tips

Be Clear

  • State your purpose
  • Include important details
  • Ask specific questions

Be Patient

  • Allow time for response
  • Understand staff are busy
  • Use phone for urgent matters

Keep Records

  • Important info is documented
  • You can refer back to messages
  • Good for tracking conversations

Example Messages

Schedule Question

"Hi, I wanted to confirm my appointment on Tuesday the 15th. Is the 10 AM time still correct?"

Share a Concern

Managing Messages

Finding Old Messages

  • Scroll through message history
  • Use search if available
  • Messages are saved for reference

Deleting Messages

If you can delete:

  • Messages may not be recoverable
  • Think before deleting
  • Provider keeps their copy

Message Security

Your messages are:

  • Sent securely
  • Visible only to you and provider
  • Part of your record
  • Protected by privacy laws

What Not to Share

Avoid sending:

  • Social security numbers
  • Financial account details
  • Other sensitive information

Send sensitive info through secure channels recommended by your provider.

If Messaging Isn't Available

Why Not

Some providers may not offer messaging, or:

  • Feature may be disabled
  • Setup may be required
  • You may need to request access

Alternatives

If no messaging:

  • Call the office
  • Email if provided
  • Speak with staff during visits
