Clocking Out of Appointments
When you've completed your visit, clock out to record your service time. Accurate clock-out times ensure proper billing and payroll.
When to Clock Out
Clock out when:
- You've completed the scheduled services
- The client no longer needs assistance
- You're ready to leave the location
- The appointment time has ended
Do not clock out before:
- Services are complete
- Required documentation is done
- You've ensured client safety
How to Clock Out
From the Active Appointment
- Open the CareCade app
- Your dashboard shows the active appointment
- Tap on the appointment (or tap Clock Out directly)
- Confirm when prompted
- You're clocked out!
From the Schedule
- Go to the Schedule tab
- Find your current (in-progress) appointment
- Tap on the appointment
- Tap Clock Out
- Confirm when prompted
Quick Clock Out
If available, use the quick action:
- The floating button appears during active appointments
- Tap the clock-out icon
- Confirm to complete
Completing Documentation
Before clocking out, you may be prompted to:
Add Service Notes
- Enter notes about the visit
- Describe services provided
- Note any concerns or observations
- Save before clocking out
Complete Required Fields
Depending on your organization:
- Activity codes
- Goals addressed
- Client status
- Incident reports (if applicable)
Face Verification (If Required)
Some organizations verify identity at clock-out:
- Camera activates
- Position your face in frame
- Verification completes
- Clock-out proceeds
After Clocking Out
What Happens
- Appointment status changes to "Completed"
- Total time is calculated
- Records are saved for payroll
- Next appointment appears on dashboard
What You Should Do
- Verify time recorded looks correct
- Add any final notes if needed
- Check your next appointment
- Travel to next location if applicable
Early Clock Out
If finishing before scheduled end time:
- Clock out when services are complete
- The actual end time is recorded
- Short appointments are visible to administrators
- This may be appropriate for some visits
Late Clock Out
If services run past scheduled time:
- Clock out when you're actually done
- The system records the real end time
- Overtime may need approval
- Your administrator can see extended appointments
Forgot to Clock Out?
If you forgot to clock out:
Same Day
- Open the app
- Find the still-active appointment
- Clock out with the current time
- Note in comments that you forgot
Next Day or Later
Contact your administrator:
- Provide the appointment date
- Note the actual end time
- They can manually adjust the record
- Learn from it for next time!
Automatic Clock Out
Some organizations have automatic clock-out:
- After a certain time passes
- At midnight
- At the end of scheduled time
Check with your administrator about your organization's policy.
Break Time
Short Breaks
For short breaks (restroom, brief pause):
- Generally, don't clock out
- Remain clocked in
- This is normal during appointments
Extended Breaks
For longer breaks during appointments:
- Follow your organization's policy
- Some may require clocking out
- Document break time if required
- Re-clock in when resuming
Travel Between Appointments
Travel Time Tracking
Depending on settings:
- Travel time may be tracked separately
- Or included in appointment time
- Or not tracked at all
Check with your organization about travel time policies.
What to Do
- Clock out of current appointment
- Travel to next location
- Clock in to next appointment
- Travel time is calculated automatically (if applicable)
Troubleshooting
Clock Out Button Not Working
If you can't clock out:
- Check your internet connection
- Refresh the app
- Try again in a moment
- If persistent, contact administrator
Can't Clock Out - Face Verification Failing
- Try better lighting
- Remove glasses/hat
- Clean camera lens
- Request manual override if available
Wrong Time Recorded
If the clock-out time seems wrong:
- Don't panic - it can be corrected
- Note the actual time
- Contact your administrator
- They can make adjustments
"Complete Documentation First" Message
You must finish required fields:
- Check which fields are incomplete
- Fill in required information
- Save the documentation
- Then clock out
Multiple Appointments
Consecutive Appointments
- Clock out of first appointment
- Travel to next location
- Clock in to next appointment
- Repeat as needed
Overlapping Time
If you're asked to provide overlapping services:
- This usually indicates a scheduling error
- Contact your administrator
- You can only be clocked into one appointment
Best Practices
Document Before Clocking Out
- Take notes during the visit
- Complete all required fields
- Add observations while fresh
- Make clock-out quick and easy
Check Your Work
Before leaving:
- Verify appointment shows "Completed"
- Check that time recorded is accurate
- Ensure notes are saved
- Ready for next appointment
